Temporary, Full-Time Opportunity – Approximately 6 Months

The City of Courtenay’s LegislativeServices Department has an exciting temporary opportunity for an enthusiastic and self-motivated individual to fill the exempt position of Executive Assistant.

As an integral member of the Legislative Services team the Executive Assistant will provide high level and confidential administrative support to the Chief Administrative Officer as well as the Mayor and the Legislative Services Department as a whole. This position acts as a liaison and responds to a wide range of inquiries from staff, the general public and external stakeholders; conducts research; assists  with meetings logistics and planning, appointments and calendars for the CAO and the Mayor; and maintains or assists in the organization’s corporate records management system. Additional responsibilities include minute taking, coordinating and processing travel arrangements for the the CAO, the Mayor, Council and senior leadership; providing logistical support and back-up administration to the Courtenay Civic Cemetery.

The ideal candidate will have a Diploma or Certificate in Administrative Office Management and considerable (5 years) of executive assistant/senior administrative related experience, preferably in a local government organization or an equivalent combination of education and experience.

Typical qualifications also include:

  • Thorough knowledge of office administration processes and practices
  • Thorough knowledge of various office equipment
  • Proficient in Microsoft Office and related office software with strong keyboarding skills
  • Some knowledge of local government business practices
  • Strong interpersonal, public relations, written and verbal communication skills
  • Ability to read and have a general understanding of bylaws and government regulations
  • Demonstrated ability to act with courtesy, tact and discretion in managing confidential, sensitive or political matters
  • Ability to establish and maintain effective relationships with the general public, staff, elected officials and external agencies
  • Ability to take minutes quickly and accurately
  • Ability to organize workload and set priorities and to be flexible with fast-changing priorities and deadlines
  • Ability to work independently as well as a member of a team

Complementary assets include:

  • Courses in Local Government Administration
  • Board of Examiners Certificate in Government Service Delivery.
