The City of Courtenay invites applications for casual Receptionist/Clerk positions.  We are actively in search of enthusiastic professionals that are customer service oriented, resourceful, tech-savvy, and possess excellent communication skills to assist our staff teams and departments.

The preferred candidates will have a flexible schedule and attitude which allows them to commit to variable work placements.  These positions are required on an on-call, temporary basis to cover for illness, vacation and to assist with special projects and assignments.  These positions also provide you with training, opportunities to work in a variety of fantastic and inclusive environments, and to gain valuable experiences.

Responsibilities vary significantly based on assignment and department, and may include:

  • Providing a high level of customer service to internal and external contacts via email, over the phone and in person
  • Providing a broad range of administrative support including:  creating, editing, and formatting documents; drafting and processing correspondence; conducting basis research and data entry
  • Scheduling and maintaining calendars using Microsoft Outlook
  • Preparing and maintaining various manual and computer-based records, reports, purchase orders, invoices, receipts, forms and files
  • Operating office equipment and computer hardware and software programs
  • Other duties as required by the specific assignment

Minimum qualifications:

  • Grade 12 or equivalent education
  • 1 year administrative office/business technology certificate or related discipline from a recognized educational institution, OR equivalent combination of education and experience
  • Sound (3 years) experience in reception, telephone and cash handling
  • Strong customer service, interpersonal, organizational, communication, time management, computer (Microsoft Office) and keyboarding skills.
  • Ability to accurately process and reconcile cash
  • Ability to deal with the public in a courteous and tactful manner
  • Ability to work well as a member of a team and work independently
  • Ability to multi-task and cope effectively with deadlines
  • Ability to adapt quickly to different departments
  • The successful candidates will be required to supply an acceptable police information check and a copy of their credentials

This is a union position and is subject to the terms and conditions outlined in the current collective agreement between the City and CUPE Local 556.  This is a casual on-call position involving shifts during regular business hours. The hourly wage rate will be dependent on the job placement.
